Third Anniversary Celebration Contest Launched – “D.Y.K.”

You’ve heard about the last two contests we launched, but did you get in on the third (and last) one that went live on the 22nd? ERAC has accomplished quite a lot throughout the last decade and we want to see if you know what we’ve done! Below you will find 10 different questions about ERAC. Your job is to find the answer on our website and then send that answer to our Communications Manager, Cathy Yeomans. Only correct answers will be eligible for an entry. Answer all 10 questions to enter a total of 10 times (bonus questions included)! It’s as easy as 1,2,3:

  1. Pick a question (or all) from the list below to answer
  2. Find the answer on (or through) the ERAC website
  3. Send the answer of which page you found it on (or the link), along with the question # to cyeomans@bcerac.ca

Here are your questions to choose from:

  1. ERAC has saved $54 million collectively over 10 years for all ERAC Members. Where can an ERAC District Contact view their individual district Spend/Save report showing what their district has saved?
  2. Starting with just two agreements (Microsoft & Provincial Video Licensing), ERAC has grown to serve our members with 29 agreements in place. Where can you view all of the agreements?
  3. ERAC started novel evaluations in 2007. We have now evaluated and approved over 2,000 items. Where do you go to view the ERAC online collection?
  4. The ERAC evaluation model has changed to a vendor pay style. If someone wanted to submit a resource for evaluation, where/how would they do that?

  9. ERAC members include 60 school districts and over 100 independent members. Where can you go to see this listing?
  10. We published our first whitepaper in 2005. We have since published 15 more along with other reports. Where can you find all of these and how do you access them all? (2 part question – two entries if answers are correct).

It’s Annual Renewal Time for the Microsoft E Desktop Agreement!

Microsoft It’s Annual Renewal Time for the ERAC Provincial Microsoft Licensing Agreement!  The Microsoft Enterprise Desktop (E Desktop) Suite gives all participating ERAC members access to the latest versions of Office Professional, Windows operating systems and the ECAL Suite.  April 1, 2016 marks the beginning of Year 2 of this 3-Year agreement which expires March 31, 2018. If you already participate in this agreement, annual quotes for your second year of participation will be emailed by Softchoice this week.  ERAC has provided updated fte counts for Districts to Softchoice, using Ministry-published data.  Independent schools have also submitted their updated fte counts.  Once you receive your quote from Softchoice, please provide them with a Purchase Order number as quickly as possible. Softchoice must submit all District and school orders to Microsoft no later than March 31, 2016. If you are NOT already participating in the Microsoft agreement but would like your school or District to be added as of April 1, 2016, please contact info@bcerac.ca as soon as possible for pricing information, as well as the necessary paperwork to process your licensing request.   You can find out more about the agreement here. Requests to be added to the license must be received no later than Tuesday, March 15, 2016 at 4 p.m.  If you wish to join the Microsoft agreement this year, you MUST commit to staying on the license for at least 2 years, until at least March 31, 2018. If you have questions about the annual renewal process or if you wish to add your organization to the ERAC Microsoft agreement, please contact us at info@bcerac.ca as soon as possible.

BCEM Partner Launches New Website & Newsletter

bcem BCEM is a new shared service initiative that offers K-12 access to multiple government and educational organization agreements, including ERAC agreements. BCEM agreements can be found on the BCEM Agreement page of their website. ERAC will continue to work as usual with its vendor community.

Protect Privacy & Security of Personal Data in Your Schools

PIA ERAC recently worked with the BCSSA and BCASBO to prepare and submit a brief to the “Special Committee to Review the Freedom of Information and Protection of Privacy Act” regarding the changes being contemplated to FIPPA. You can view a copy of the submission here. ERAC encourages its members to be proactive and learn how to protect privacy and security of personal data in your schools. With the changes in technology and student learning, issues pertaining to privacy access and protection are challenging our educational institutions. Online learning, cloud computing, storage, and social media have prompted our government to provide legislation to protect the rights and privacy of British Columbians. Our membership PIA webpage is a resource for our educational community so they may have information and tools available for the purpose of meeting current legislation. This resource website should also help you to adopt best practices in mitigating risks to security and privacy for staff and students in your schools. Before there is a new program, project, system, technology, initiative implemented or any significant changes to them, a Privacy Impact Assessment (PIA) needs to be done. This living document is to ensure that your schools are in compliance with the current BC privacy legislation. When completing a PIA, the process is designed as an educational tool that promotes privacy while assessing the impacts that may occur within an educational setting. The PIA can make the difference between having a privacy invasion and privacy enhancing initiative without compromising your educational objectives or adding significant costs. If a PIA is used during the development phase of a new program, project or initiative, it can ensure the privacy requirements are identified and satisfied in a timely and cost efficient manner. Each PIA is developed in context with the how and why the initiative will be deployed and for the purpose it will serve the educational setting. To learn more about PIA’s, visit ERAC’s PIA website.

What Does the ERAC Brand Stand For?

ERAC Logo - 371 x 338 Around 5 years ago, ERAC went through a branding strategy and came up with a design that was well suited for the organization. Do you know what the ERAC logo represents? The arrows represent a variety of fish, just like our varied school districts, some bigger than others. They are all pointing forward to represent our progress as we achieve together. The main front green arrow shows ERAC in the role of leadership, providing direction for the fish. Our branding has recently expanded as we have rolled out additional resource websites including:

  • The BC Digital Classroom Resource Site provides valuable information regarding your BC Digital Classroom resources, including assistance through training from our Professional Learning Team
  • Our member-only access PIA Resource Site that gives information relating to Privacy Impact Assessments, along with links and templates
  • Our new ERAC News Site which includes all the stories in this newsletter, including past stories and informational links to non ERAC stories relating to education.

Take a walk through the sites to familiarize yourself and don’t forget your ERAC Report on LGTBQ resources which includes a great downloadable brochure for use. We look forward to continue on the path of ‘achieving together’.

  Q:   Our professional learning team often get these two similar questions: What can I use to help students with research skills? and How can I help students use keyword searching better?  

A.    Gale – Power Search has a new tool called Topic Finder which uses top 100 search results to generate an infographic of relevant keywords (viewed in wheel). Tile form lets you zoom in to see more sub-categories (the wheel expands but not as readable). Once narrowed, it gives you the top results in that search on the right panel. Districts should be able to access it in their district with IP authentication. Or contact your ERAC contact for your district username and password. Happy researching!

Warm Welcome to our New ERAC District Contacts

Since the start of the school year in September, many new District Contacts have been appointed and since this role is so integral to ERAC, we want to make sure you’re prepared! We have created an updated version of our Welcome Guide to assist you with insight, direction and focus of your role.  There is a lot of additional private information you’ll want access to like your individual Spend/Save report, prices on agreements, full product evaluations and more. To access this all, it is necessary for you to update your personal information in the “Update my Profile” option on your Dashboard to make sure it’s current. Likewise, please review our District Contacts page to make sure your district contact information is current. If any changes are required, the Superintendent or the Secretary Treasurer must communicate these changes to ERAC and we are happy to make the changes for you! Millions in Savings for ERAC Members

A.     1. Self-Manage Option – On their ERAC dashboard, Superintendents and Secretary Treasurers can choose “Manage District Contacts” and “Remove” District Contacts or “Invite” someone new to be a district contact and to create an ERAC account if they have not yet.

2. ERAC Manage Option – The Superintendent or Secretary Treasurer can send an email to info@bcerac.ca advising who they want deleted or added.

Either way, ERAC has a perfect resource for you, our new PIA website! This online resource provides you with documents from various provincial and federal departments, has various categories of PIA sample templates and additional resources through news links and an FAQ. Q. What will happen with the vendors/IP authentication when we move to the NextGen Network in the new year? A. Many districts have transitioned to the NGN which causes new IP addresses to be assigned so vendors need to make technical adjustments on their side. As soon as the district knows what the new IP addresses will be (before the change occurs), they can revise the implementation spreadsheet and submit it to Brian with the date. He will then forward that information to all the vendors who will update their systems to point at the new IP’s. The rate at which the change is made depends on the vendor’s ability to process the request. The final step is to have the district person in charge of implementation have each school test activation and sign off that the system is up and running. Brian can be reached at bkerr@bcerac.ca.

ERAC has done the work for you! We’ve created three great options for you when looking for LGBTQ resources and they all tie in perfectly together. Our ERAC online collection has been growing and we have many new recent titles that have been added. Just sign in and enter the keyword ” LGBTQ” and a list will be provided. To simplify your search for information, we’ve created a “LGBTQ Collection of Evaluated Resources for Educators” that provides overviews of the topics covered in each of the databases. We’ve also made this handy dandy LGBTQ Brochure for you to use in the districts and for your educators. It can be shared electronically or printed and gives a great snapshot of resource ideas to be used for different age groups within the classroom. Innovative Technology for K-12 a Great Success

Earlier this year, Microsoft released Advanced Threat Analytics. Microsoft Advanced Threat Analytics is an on-premises software product designed to help you protect your enterprise from advanced targeted attacks by automatically analyzing, learning, and identifying normal and abnormal entity (user, devices, and resources) behavior.  The analytics detect suspicious user activities, known malicious attacks and security issues, and reports results on a simple attack timeline. This is a good tool to help increase the security of your environments. You’ll be pleased to know that this is included in the ERAC Microsoft E-Desktop agreement.  This means that you’re entitled to use ATA at no additional charge. Find out more about thisproduct here. You were already introduced to Kevin Amboe most recently, and you may have seen him at some of the PSA’s, but now he also has two additional team members, Monica Berra, SD57 and Lisa Read, SD79. These two women bring a wealth of expertise, passion and energy to the table and will be helping Kevin to build on professional learning support for the BC Digital Classroom as well as other ERAC evaluated and licensed products. Looking for LGBTQ Resources? Look No Further!

ERAC has done the work for you! We’ve created three great options for you when looking for LGBTQ resources and they all tie in perfectly together. Our ERAC online collection has been growing and we have many new recent titles that have been added. Just sign in and enter the keyword ” LGBTQ” and a list will be provided. To simplify your search for information, we’ve created a “LGBTQ Collection of Evaluated Resources for Educators” that provides overviews of the topics covered in each of the databases. We’ve also made this handy dandy LGBTQ Brochure for you to use in the districts and for your educators. It can be shared electronically or printed and gives a great snapshot of resource ideas to be used for different age groups within the classroom.
